Robinson Consultants is seeking a self-motivated Executive Assistant to join the collaborative and dynamic team in our Ottawa office. This position will provide high-level administrative support to the President and other members of the Executive Team upon request to ensure efficient operation of the executive office. This role involves managing complex schedules, coordinating meetings and travel, preparing reports and correspondence, and handling confidential information in a professional manner. The ideal candidate will be proactive, highly organized, detail oriented, and capable of working in a fast-paced environment with discretion and professionalism.
What you’ll be doing:
- Providing high level, confidential administrative support to the President and other Executive Team members as requested.
- Support to the Board of Directors – scheduling meetings, preparing Board packages for Board of Director meetings.
- Management of the President’s calendar, including preparation for meetings such as agendas and providing background information as needed.
- Monitor and prioritize incoming and outgoing emails on behalf of the President.
- Prepare and edit correspondence, communications, presentations, and other documents as requested.
- Maintain relevant files and databases, electronic filing systems, and related communications.
- Exercise professional and sound judgment in the execution of responsibilities.
You should have:
- Bachelor’s degree or diploma in Business Administration, Communications, or related field.
- 5+ years of experience as an Executive Assistant or similar high-level support role.
- Exceptional organizational and time management skills and the ability to balance diverse, changing, and conflicting priorities to meet goals and objectives.
- Ability to work as part of a team as well as independently.
- Computer literacy in a Microsoft Office Suite (Outlook, Word, Excel, TEAMS, OneNote and PowerPoint).
- High degree of professionalism and discretion in handling confidential information.
- Superior client service, interpersonal skills, and emotional intelligence.
- Proven research, analysis and problem-solving skills.
- Previous experience working with Boards of Directors or senior leadership teams, considered an asset.
- Excellent oral and written communication skills in English (bilingualism in English and French would be considered a strong asset).
- Must possess a valid driver’s license and have access to a vehicle with valid registration and insurance.
